Guidelines Regarding Security and Retention & Release of Permanent Records

Release of Records

Workshop participants can request, in writing, a copy of their permanent records at any time. The Support Center will supply the requested information within five business days.

Permanent records include:
  • Participant name and title, organization name, mailing address, phone number and email address
  • Names of workshops registered for and attendance record
  • CEU credits awarded (if any)
  • Certificate program participation (if any)

Information regarding attendance at a workshop(s), CEU credits, etc., can also be released to a participant's employer after a written request has been received. The participant does not have to be informed that the information is being provided to a current employer. In the case of a previous employer asking to receive such information, the records will only be released after the Support Center receives the written permission of the participant.

Security of Records

All information regarding Support Center participants is stored for a minimum of seven years in a secure online database titled SugarCRM. The database is password protected. In order to gain access to the database, a person must enter two separate passwords.

SugarCRM's security policy is as follows: "SugarCRM's security policy is to immediately respond to any reports or allegations of security vulnerabilities or incidents by researching, analyzing, announcing and immediately delivering a quality update patch. All security records are treated as the highest priority to attain resolution and eliminate any risk that SugarCRM users could potentially experience."

If you have questions regarding these matters, please contact Steve Damiano, Director of Training, at 212-924-6744, ext. 302 or sd@supportcenteronline.org.
